4. How We Use Your Data

5. Data Retention
We retain your personal data only for as long as necessary to fulfill the purposes for which it was collected. Contact form submissions are retained for 12 months. Project-related data is retained for the duration of the service engagement plus 24 months for warranty and support purposes. Server logs are automatically purged after 90 days.
6. Data Sharing & Third Parties
We do not sell, trade, or rent your personal data to third parties. Data may be shared with:
- Infrastructure Providers: Cloudflare (CDN and security), hosting providers for website and application deployment.
- Payment Processors: Stripe, for processing payments related to contracted services.
- Legal Authorities: When required by law, court order, or regulatory obligation.
All third-party processors are bound by Data Processing Agreements (DPAs) ensuring GDPR-compliant handling of your data.
7. International Data Transfers
As a company based in Madrid, Spain, we primarily process data within the European Economic Area (EEA). Where data is transferred outside the EEA, we ensure appropriate safeguards are in place, including Standard Contractual Clauses (SCCs) as approved by the European Commission.

Refund Policy

1. Scope
This Refund Policy applies to all services provided by SynapticVertex, headquartered at Calle Valderrodrigo 16, Piso 3 A, Madrid, Spain. Services include but are not limited to WebGL development, 3D product configurators, spatial data visualization, WebXR experiences, shader art direction, and creative direction services.
2. Milestone-Based Billing
All projects are billed according to predefined milestones agreed upon at project initiation. Payment for each milestone is due upon delivery of the corresponding deliverable. Refund eligibility is assessed on a per-milestone basis.
3. Refund Eligibility
- Pre-Production Milestone: If cancelled before any design or development work has commenced, a full refund of the deposit will be issued within 14 business days.
- Active Production Milestones: Refunds are evaluated based on work completed. If a milestone is cancelled after partial work has been delivered, the refund will be prorated based on the percentage of deliverables completed and accepted.
- Completed Milestones: Once a milestone deliverable has been reviewed, accepted, and signed off by the client, that milestone is non-refundable.
4. Defective Deliverables
If a delivered milestone does not meet the specifications outlined in the project brief and technical documentation, SynapticVertex will rectify the deliverable at no additional cost within a reasonable timeframe (typically 10 business days). If rectification is not possible, a full refund for that milestone will be issued.
5. Non-Refundable Items
- Third-party licensing fees, stock assets, or domain registrations purchased on behalf of the client.
- Work completed under change requests (CRs) outside the original project scope.
- Consulting or strategy sessions that have been delivered and documented.
6. How to Request a Refund
To request a refund, email [email protected] with your project reference, milestone identifier, and reason for the refund request. We will acknowledge receipt within 3 business days and provide a resolution within 14 business days.
7. Governing Law
This Refund Policy is governed by the laws of Spain and the European Union. Any disputes arising from refund claims shall be subject to the exclusive jurisdiction of the courts of Madrid, Spain.
Terms of Service

1. Acceptance of Terms
By accessing the website at synapticvertex.com or engaging SynapticVertex for services, you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our website or services. SynapticVertex is registered at Calle Valderrodrigo 16, Piso 3 A, Madrid, Spain.
2. Services
SynapticVertex provides professional services including but not limited to: interactive WebGL experience development, 3D product configurator engineering, spatial data visualization, WebXR portal creation, GLSL shader art direction, creative direction and concept development, and digital showroom engineering. All services are delivered as described in individual project proposals and Statements of Work (SOWs).
3. Project Engagement
- Proposal Validity: All project proposals are valid for 30 calendar days from the date of issue.
- Milestones: Projects are divided into agreed milestones with specific deliverables and payment schedules.
- Change Requests: Any changes to the project scope must be submitted as formal Change Requests. Additional work outside the original scope will be quoted separately and requires written approval before commencement.
- Client Responsibilities: The client is responsible for providing timely feedback, necessary assets (brand guidelines, content, API access), and approvals at each milestone gate.
4. Payment Terms
- Invoices are issued upon milestone delivery and are payable within 14 calendar days.
- Payments are processed via Stripe or bank transfer in EUR (€).
- Late payments incur a statutory interest rate of 8% per annum plus applicable administrative fees.
- SynapticVertex reserves the right to pause project work if payments are overdue by more than 21 days.
5. Intellectual Property
Upon full payment of all project milestones, the client receives full ownership of all custom-developed deliverables, including source code, 3D assets, shader programs, and design files created specifically for the project. SynapticVertex retains the right to display project work in portfolio materials unless explicitly prohibited in the project agreement. Pre-existing tools, libraries, and frameworks used in development remain the property of their respective authors.
6. Confidentiality
Both parties agree to maintain the confidentiality of proprietary information shared during the project engagement. This includes business strategies, technical specifications, unreleased product details, and internal processes. This obligation survives the termination of the service agreement for a period of 24 months.
7. Limitation of Liability
SynapticVertex's total aggregate liability under any project engagement shall not exceed the total fees paid by the client for that specific project. We shall not be liable for indirect, incidental, consequential, or punitive damages, including loss of revenue, data, or business opportunities.
8. Warranty
SynapticVertex warrants that all deliverables will conform to the specifications outlined in the project proposal for a period of 90 days following final milestone delivery. This warranty covers defects in workmanship and deviations from agreed specifications. It does not cover issues arising from client modifications, third-party integrations, or changes in browser/platform behavior after delivery.
9. Termination
Either party may terminate a project engagement with 14 days' written notice. Upon termination, the client is responsible for payment of all milestones completed or in progress up to the date of termination. All completed work and associated materials will be transferred to the client upon receipt of final payment.
10. Governing Law & Dispute Resolution
These Terms of Service are governed by the laws of Spain and the European Union. Any disputes arising from or relating to these terms or our services shall first be subject to good-faith mediation. If mediation fails, disputes shall be submitted to the exclusive jurisdiction of the courts of Madrid, Spain.
